1. Who we are

Ago Actum Ltd (“AgoActum”, “we”, “us”) is a company registered in England and Wales (company number 09684787), with its registered office atCarrwood Park,  Selby Road,  Leeds,  LS15 4LG,  England. We are the “data controller” for the personal data described in this notice.

2. The personal data we collect

Depending on how you interact with us, we may collect:

• Contact & enquiry data — your name, work email, telephone number, organisation and the content of messages you send us via our contact form or by email.
• Client & supplier data — information needed to deliver services and administer contracts, including the details of named contacts within client and supplier organisations.
• Website & technical data — limited technical information such as browser type and pages visited, where analytics are used. Our site is designed to minimise this and does not use non-essential tracking cookies without your consent.
• Recruitment data — where you apply to work with us, the information in your application and any accompanying documents.

3. How and why we use your data

We use personal data for the following purposes and legal bases under UK GDPR:

• To respond to your enquiries and provide requested information — on the basis of our legitimate interests, and steps taken at your request prior to entering a contract.
• To deliver our services and manage contracts — for the performance of a contract with you or your organisation.
• To run and improve our business, including accounting, security and service improvement — on the basis of our legitimate interests, balanced against your rights.
• To meet legal and regulatory obligations — where we are required to by law.
• To send you relevant updates, where you have asked us to or otherwise permitted by law — you can opt out at any time.

4. Client data and confidentiality

A core part of what we do is helping clients use AI on their own data while keeping it private. Where we process data on behalf of a client, we act as a data processor and process that data only on the client’s documented instructions, under a written agreement. Our platform is designed to run within the client’s own environment so that their data remains under their control and is not used to train shared or third-party models.

5. Sharing your data

We do not sell personal data. We may share it with:

• Trusted service providers who help us operate (for example, email, hosting and analytics providers), under contract and only as needed.
• Professional advisers such as accountants and lawyers.
• Authorities or regulators where we are legally required to do so.

Where any provider is located outside the UK, we ensure appropriate safeguards are in place, such as UK-approved standard contractual clauses.

6. How long we keep it

We keep personal data only as long as necessary for the purposes above, or as required by law. Enquiry data is typically retained for up to 24 months; contractual and financial records are kept for the periods required by law (generally at least six years).

7. How we protect it

We apply appropriate technical and organisational measures — including encryption, access controls and staff training — to protect personal data against unauthorised access, loss or misuse.

8. Your rights

Under UK data protection law you have the right to:

• access the personal data we hold about you;
• ask us to correct inaccurate data;
• ask us to erase data in certain circumstances;
• restrict or object to certain processing;
• request portability of data you provided to us; and
• withdraw consent where we rely on it.

To exercise any of these rights, email  hello@agoactum.com. You also have the right to complain to the UK Information Commissioner’s Office (ICO) at  ico.org.uk, though we’d appreciate the chance to resolve any concern first.

9. Cookies and analytics

Our website is built to work without cookies. We set no cookies of our own, and we use no analytics or tracking cookies unless you consent.

When you first visit, a banner asks whether you agree to analytics. Only if you select “Accept analytics” do we load Google Analytics (GA4, a service provided by Google), which then sets cookies (named _ga and _ga_<id>, typically lasting up to two years) to measure how the site is used — for example, which pages are visited — so we can improve it. We rely on your consent for this.

Google Analytics is a third-party service, and its use is subject to Google’s Privacy Policy. Google processes this data as our processor and may do so outside the UK.

You can change or withdraw your choice at any time using the “Cookie settings” link in the footer. Declining stops analytics and clears the analytics cookies; if you decline — or simply ignore the banner — the site stays cookie-free.

10. Spam protection (reCAPTCHA)

Our contact and careers forms can be protected by Google reCAPTCHA, which helps us tell genuine users from automated bots. It is off by default: the reCAPTCHA script loads, and its cookie is set, only if you choose to enable it on the form. Its use is subject to Google’s Privacy Policy and Terms of Service. Where you enable it, we rely on your consent and our legitimate interest in keeping our services secure.

We may update this notice from time to time. The date at the top shows when it was last revised. Material changes will be highlighted on this page.
